With Talowiz’s automation for Recruitment, your organization’s recruitment process can be easily upgraded using the 4 main offerings of Talowiz:
a. Outreach and Connect: Talowiz allows an integration of multiple channels of communication like emails, calls, whatsapp, in-mail and others to allow you to reach your perfect candidate through the medium of their preference.
b. Intent and Relevancy Identification: Sift easily through the candidate profiles which are not relevant to the job role at hand. Using Talowiz’s AI models, the matchmaking and the activeness of the candidates is available to you on your campaign dashboard.
c. Assessment Workflow: Talowiz has integrated top assessment tools in the market to allow you to create the perfect hiring process which judges all the relevant metrics in a candidate. No-code interface allows you to automate the assessment process with automated and manual rounds.
d. 360-degree Reports: The end-to-end process of recruitment for your organization is being handled on a single platform. Talowiz allows for complete visibility of the recruitment funnel for your hiring. It encourages the use of a data-driven approach for correction work.

2. User’s Personal Data Stored
2.1 Signup process works as follow on Talowiz
Company (represented by Administrator) creates an account on Talowiz. The administrator is the main person responsible for setting up the account on Talowiz.
Once an account is created, the Administrator invites relevant stakeholders to Talowiz.
Every user, be it Administrator or User has the option to signup / sign-in via email-password or google based authentication.
While signing up or setting up the account, be it Administrator or User, following personal details are provided by them
- Name
- Email
- Contact Details
- Company details like address
- Role of the person in the organisation
More personal data required from user’s with specific roles. This information is required to trigger automation efficiently. Data required are
- Google Access Token with access to read, write emails on the behalf of the user if the user is involved in the recruitment process.
- Google Access Token with access to read, update calendar on the behalf of the user if the user is involved in the recruitment process as an interviewer.
When you create an account to utilize our Services, we request your consent to connect your email account to your account with us (via the OAuth authentication method), thereby granting us access to your email, contacts, and calendar. This allows us to provide you with our Services. We only access and store a limited subset of data from your account, including name and email address.For users authenticating through Google accounts, Talowiz Software's use of any information received, and Talowiz Software's transfer of information to any other application, from Google APIs will comply with Google's Limited Use Requirements. Talowiz's use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements. We obtain and retain any information you furnish during your use of the Services. For example, through your account settings, sending emails, generating lists of contacts, entering contact information, requests for assistance through customer support, and otherwise utilizing the Services, we may gather Personal Information such as your name, email address, location, phone number, payment data, and third-party account credentials (for instance, your log-in credentials for Google Mail or other third party websites). Certain information may be mandatory to register with us or to utilize some of our features.In addition, we gather Personal Information you submit to us, for example by completing a form on our website or application. In that event, we may contact you, for example by calling you at the phone number you provide or emailing you regarding your use of the Services. 2.2 The personal data captured above will be used according to the role of the user. Following are the use cases.To conduct automation and to perform other tasks as per the product features;
- Provide flexibility and customisation as per the user requirements, role and information.
- Continuous management and improvement of the platform;
- Provide best support, response and communication to the subscribed users;
- To provide response to requests to the customers or requests from public authorities.
- To share the data in case of consent provided by the user to do so in the product workflow.
2.3. Service providers for Talowiz, the external processors we employ, may in turn have access to the personal data of Users only when necessary and with the sole purpose of ensuring highest levels of Service to the Users. Talowiz will enter into comprehensive agreements with aforementioned third parties in order to ensure that Users personal data is stored and processed in a manner consistent with internationally accepted regulations about data protection.
In certain situations we collaborate with third parties to assist us in providing our Services, which necessitates sharing your information with them. We share your information with the following categories of third-party service providers:Analytics Service Providers: We utilize third party analytics services to better comprehend how our users are engaging with our Services. 2.4. At any time during the duration of the contractual relationship between the User and Talowiz, the Users may exercise their rights to access, rectify, cancel or oppose of portability and processing of their personal data according to the provisions of the General Data Protection Regulation (GDPR) by sending an email to support@talowiz.com. The User can also at any time choose to stop receiving any form of commercial communications about the Service from Talowiz, they may request so by sending an email to support@talowiz.com.
2.5. The contractual relationship between Talowiz and the User for the terms of the Service is the legal basis for processing of the Users’ personal data. In addition to this, the genuine interest of Talowiz in making its Users aware of upgrades about the Service shall also serve as a legal basis, except in cases where the Users have specifically informed Talowiz that they do not wish to receive any such commercial updates about the Service.
2.6. Duration of Processing: The personal data and information of the Users will be processed by Talowiz for the entire duration of the contractual relationship and, afterwards, in the duration of the legal period as specified in by the regulations which are applicable to the specific case.
2.7. Talowiz uses secure physical and digital systems based out of the United States to store Users’ personal data. We ensure that the Users’ personal data is protected against any unauthorised access, destruction or disclosure. However, Talowiz may be required to share the personal data of the Users with external service providers which are used by Talowiz, in any such cases, extreme measures will be taken to ensure that the transfer of data is secure, and will only happen after authorisation from the Users. Such transfers would be made, if one of the following conditions are fulfilled: The User has consented to sharing of personal data;
The personal data of the Users must be shared with external third party service providers in order to ensure that the Service is being provided to the Users as per the contractual agreement.
3. Use of Google APIsThe use of services offered by Talowiz via the Google API, implies that the Users also adhere to Google API Services User Data Policy.
4. Security Talowiz will process any and all personal data of the Users ensuring maintenance of strict confidentiality, and will implement all the appropriate organizational and technical measures as mandated by applicable regulations. Talowiz makes use of standard encryption to ensure the protection of Users’ data in process. Standard encryption is commonly known as Secure Socket Layer (SSL) technology or Transport Layer Security Technology (TLS).
5. Talowiz processing the personal data of Recipients on behalf of its Users
5.1. This section offers details on the occasion where Talowiz is forced to act as a processor and process personal data on behalf and as per the instructions of its Users. The methods for processing said data, and the purpose of the same are decided by the Users, and Talowiz accesses and processes personal data only at the behest of the Users so as to provide the required Service. Talowiz shall not be held responsible for processing of the data of the Recipients of the User.
5.2. As per the stipulations of the Service in the interest of the Users, Talowiz may be required to access and process the personal data of the Users’ Recipients, only for the purposes as established by the User. Talowiz will hold access to the following data of the Users’ Recipients: While signing up or setting up the account, be it Administrator or User, following personal details are provided by them

Gsuite Users - More personal data required from user’s with specific roles. This information is required to trigger automation efficiently. Data required are
- Google Access Token with access to send emails on the behalf of the user if the user is involved in the recruitment process.

Microsoft Users - More personal data required from user’s with specific roles. This information is required to trigger automation efficiently. Data required are
- Microsoft Access Token with access to send emails on the behalf of the user if the user is involved in the recruitment process.
- Microsoft Access Token with access to read, update calendar on the behalf of the user if the user is involved in the recruitment process as an interviewer.
5.3. As a result of the aforementioned constraints, Talowiz: will not beyond the purposes of the Service process the personal data of the Users’ Recipients and will not transfer any data, for any purposes including storage to unauthorised third parties;
will process the personal data of the Users’ Recipients only as per the specific documented instructions of the Users. If the documented instructions seem to violate any data protection regulations, Talowiz will inform the Users of any such violation immediately;
notify the Users immediately, if they are aware of any breach of data and shall disseminate any details pertinent to the infringement;
will ensure that all the persons authorised within Talowiz to access and process personal data of the Users’ Recipients have undertaken an agreement to maintain confidentiality or are subject to a legal obligation of relevant confidentiality;
shall aid the Users in taking appropriate organisational and technical measures necessary, taking into consideration the nature of the processing. This will be done to ensure as far as possible, the Users’ obligation to respond to the requests for exercise of rights of data subject as set out in Chapter 3 of the GDPR;
will take all necessary steps in accordance with the guidelines set out in Article 32 of the GDPR (processing data safely);
5.4. If you, a Recipient wishes to exercise any rights in accordance with the guidelines of the GDPR to have Talowiz to stop immediately processing any personal data in your stead as a processor, you must immediately contact the User who is using Talowiz’s services and consult about your privacy policy. Talowiz will not be able to aid you in any such discrepancies in data protection, and will be unable to offer you help in exercising your corresponding rights. However, we will undertake the responsibility to make the User aware of any such discrepancies in your stead.
5.5. Talowiz will get into contract with any third parties for the function of processing operations as part of fulfillments of Service obligations, where the processing would involve accessing the personal data of the Users’ Recipients without express Authorisation. With the exception of the following, any third party processing shall be considered as unauthorised by the User: AWS - Amazon Web Services, Inc. for providing hosting services, through servers located in the US;
Google Services: Google APIs, Google Analytics, Google Access Token, Google Apps, Google Forms and Webmaster Tools;
Intercom, for the purpose of customer services;
5.6. The User shall be responsible for processing of personal data of their Recipients in context of the GDPR. The User will be the sole source for describing the instructions as per which the processing methods and purposes will be carried out. Thus, Talowiz processes the personal data of the Users’ Recipients for the purposes only when they lead to the fulfilment of the Service and act on the behalf of the User. In turn, the User must adhere to the obligations which are applicable as per data protection regulations; this includes a mandatory obligation to obtain consent of their Recipients to give third parties access to the personal data for purposes of processing. Only the User, and not Talowiz shall be held solely responsible for completing these obligations.
5.7. Talowiz guarantees the confidentiality of personal data of the Users’ Recipients, even after the termination of the contractual agreement.
6. Exclusion from Talowiz Services
6.1. The Recipient of any email sent by the Service on behalf of the User may be excluded from tracking performed by the User, provided the recipient opts for the “Opt-out” option available to the Recipient in the User Privacy section.
6.2. The only way in which the Recipient can be excluded from the Service is the installation of a cookie from the Talowiz.com website. Thus, if the Recipient happens to remove cookies from their browser, they will once again be included in Service being used by the Users.
6.3. The cookie mentioned above is browser-dependent, and will only work on the browser on which the Recipient has installed the cookie. If the Recipient wishes to be excluded from Talowiz services on multiple browsers, it would require them to manually install the cookie on all the browsers.
7. Third-party Apps
We employ third-party tools to monitor and analyse the use of our websites, and to automate certain processes related to the development and operation of our websites.
7.1. Google Analytics : Utilization of Google Analytics is employed for the purpose of tracking our website traffic. Google Analytics serves as a web analytics service provided by Google itself. The data collected through this service is utilized by Google to oversee and monitor the usage of our websites, and this information may also be shared with other Google services. Google may apply this gathered data to tailor and personalize advertisements within its advertising network. 7.2. Mailchimp : In the case of Mailchimp, we rely on it to effectively manage our newsletters and transactional emails. 7.3. AI Training Model - Talowiz : We have developed a custom AI model to personalize the behavior and content as per user persona. For this, data we are capturing are name, role and actions on the website (profile selected/rejected interview feedback). The storage of captured data is complied with Google Data Protection Policy.
7.4. Google API : Utilization of Google APIs are role specific. Recruiters will be sending emails to candidates via Google APIs. Interviewers will be sharing their calendar for slot booking for interviews. Hence, we share name, email id and role in the case of recruiter. And email id and name in case of interviewer.
